Alumni Council Operating Rules

 

  

Look below for information describing the rules of operation governing our Alumni Association as we strive to fulfill our mission. 

You will find specific information about the qualifications and privileges of membership, the appointment and duties of the Alumni Council, and the ground rules that guide the council’s officers. 

 

   

MEMBERSHIP OF ASSOCIATION 

 

Qualifications 

 Membership in the camp Chingachgook Alumni Association  is available to any person for merely a camper or staff member as well as any person who exhibits a desire to benefit Camp Chingachgook or improve the camping experience.  

Privileges     

 

Members shall be entitled to receive  issues of the Alumni Association Newsletter, to the use of the alumni library and archives, to invitations to all alumni gatherings, programs and activities; and to enjoy such other privileges and entitlements as may be granted by Camp Chingachgook, the Alumni Association and the Capital District YMCA. 

Dues                                                                                                                   

Annual dues shall be required of Association members in accordance with schedules and categories determined by the Alumni Council. The fiscal year for the association shall begin by January 1st. Dues paid apply to the calender year in which they were paid. 

 

   

GOVERNING BODY  

The Alumni Council 

 

The Alumni Council shall be the governing body of the Camp Chingachgook Alumni Association. 

 

Appointment of the Council  

 

The Alumni Council shall consist of not fewer than nine nor more than twenty one members in good standing of the Association. Members of the Alumni Council are nominated by The Executive Director of the Camp or other Council Members and serve for terms of three years. Each year approximately 1/3 of the Council’s terms shall expire. Council members may serve multiple terms. New members are voted into office by a vote of 75% or greater. The Council may remove council members at any time for any reason by a vote of 75% or greater. 

 

Powers and Duties  

The Alumni Council shall establish programs for the benefit of the Association members, shall control and administer the Association’s financial affairs solely for the support of the Association and for Camp Chingachgook, in accordance with the direction of the CDYMCA or its representative, and shall determine qualifications for membership in the Association. 

 

Quorum and Vote 

A quorum of greater than 50% of the Council membership must be present for votes to occur. For an action to be approved, at least 75% of the Council members present must vote in favor of the action provided that a quorum is present. 

Job Description  

 

Alumni Council members are entrusted with the responsibility to act in the best interests of the Camp and the Alumni Association to the best of their ability. It is their duty to interpret the Alumni Association Mission Statement and ensure that it is a guiding priciple and core foundation to all votes and decisions undertaken by the council. It is understood that dues and donations of Alumni Association members fund the activities of the Alumni Council, and it is incumbent upon all Council members to participate in Fund Raising activities when necessary. Council members are expected to attend all meetings.  

OFFICERS 

President  

 

The Alumni Council shall be headed by a President who shall be elected bi-annually by a majority of Council members. Term of office shall be two years commencing on January 1st and ending on December 31st. The President shall preside at meetings of the Council, prepare meeting agenda and call for any votes by the Council. The President shall form such committees as needed and assign council members to those committees. The President shall cast a vote equal with all other Council members, on each issue presented to the Council for a vote.In the event a vacancy occurs in the office of President during the term, the Vice President shall serve the unexpired portion of the term of the predecessor. Two individuals may share the position of President as Co-Presidents each having one vote.The President may fill vacated offices by appointment and such appointments shall remain effective until the end of the term of the officer that was replaced.  

Vice President  

The Alumni Council shall bi-annually elect one or more Vice President(s) whose term will coincide with that of the President and who shall assist the President and perform such duties as may be prescribed by the Council or by the President. The Vice President shall preside at Council meetings in the absence of the President. 

 

Secretary  

The Alumni Council shall bi-annually elect a Secretary whose term will coincide with that of the President and who shall record all votes and the minutes of all proceedings of the Council, and perform such other duties as may be prescribed by the Council or by the President under whose supervision the Secretary shall act. 

 

Treasurer  

 

The Alumni Council shall bi-annually elect a Treasurer whose term shall coincide with that of the President and who shall be responsible for planning, reviewing and overseeing on behalf of the Council all matters concerning the finances of the Alumni Association. 

Meetings  

Meetings shall be at the call of the President or other Council Officer in conjunction with the Executive Director.
